Who we are

What we collect

• Your name, date of birth, gender and nationality.
• Your contact details and country of residence.
• Your self-assessed level of English.
• The programme and start month you are applying for.
• Documents you upload: your passport, and optionally certificates and a personal statement.
• Correspondence between you and our admissions team.

Why we use it

• To assess your application and decide whether to offer you a place.
• To produce your offer letter and enrolment documents.
• To arrange your accommodation.
• To administer fee payments.
• To meet our legal and regulatory obligations.

Our lawful bases are the performance of a contract with you, our legitimate interest in operating the college, and compliance with legal obligations.

Who we share it with

We share personal data only where necessary: with our accommodation providers to arrange your room, with our payment processor to take fee payments, and with public authorities where the law requires it. We do not sell personal data, and we do not share it for marketing by third parties.

You submit your visa application to UK Visas and Immigration yourself. We do not submit it on your behalf.

How long we keep it

Application records are retained for six years from your last contact with us, after which they are securely deleted. Uploaded documents are deleted once they are no longer needed for the purpose they were provided for.

Where it is stored

Your data is stored on servers within the UK and the European Economic Area. Where data is transferred outside the UK, we ensure appropriate safeguards are in place in line with UK GDPR.

Your rights

You have the right to access your personal data, to have it corrected or erased, to restrict or object to our processing of it, and to data portability. To exercise any of these rights, email info@jwheatley.uk. If you are not satisfied with our response, you may complain to the Information Commissioner's Office at ico.org.uk.
